General Scope
This position will be responsible for performing a range of accounting and clerical tasks related to the procurement-to-payment function, including, but not limited to, setting up and maintaining vendor master files; receiving, processing, and verifying invoices; tracking and recording purchase orders; processing payments; assisting with sales and use taxes, as well as year-end Form 1099 processing; and ensuring supporting documentation is properly maintained in accordance with best practices and internal record-retention policies.
Responsibilities
- Sets up and maintains vendor master files in accordance with best practices.
- Obtains and files Form W-9s from vendors as required by Federal requirements.
- Completes payments by receiving, processing, verifying, and reconciling invoices.
- Reconciles processed work by verifying entries and comparing system reports to recorded balances.
- Ensures credit is received for any outstanding memos.
- Issues stop-payments or purchase order amendments as requested.
- Maintains accounting ledgers by verifying and posting account transactions using proper general ledger account codes and in compliance with generally accepted accounting principles.
- Verifies vendor accounts by reconciling monthly statements and related transactions to underlying accounting records.
- Assists with the reporting of sales and use taxes in accordance with relevant state and local taxing requirements.
- Prepares and files year-end Forms 1099s and 1096s in accordance with Federal regulations.
- Ensures supporting documentation is properly maintained in accordance with best practices and internal record-retention policies.
- Protects the organization’s confidential, sensitive, and private information.
- Updates job knowledge by participating in educational opportunities.
Minimum Qualifications
- High school diploma
- Previous accounts payable experience
- Outstanding verbal and written communication skills
- Proficient with Microsoft Office, particularly with Microsoft Excel
- Knowledge of basic accounting principles
- Strong attention to detail and accuracy
- Strong organization skills with the ability to prioritize and manage deadlines
- Strong analytic abilities
Preferred Qualifications
- Bachelor’s degree in accounting, finance, or related field a plus
Salary Range: $50,000 - $60,000 based on experience
